Privacy Notice

How we collect, use, store and share your personal information.

Last updated: October 2026

Who we are

Taaksvale Property Solutions Ltd is the data controller for the personal information described in this notice. That means we decide why your information is collected and what happens to it.

We are registered in England and Wales under company number 14540177, at 180 Perry Vale, Forest Hill, London, SE23 2LR.

You can reach us about anything in this notice at info@taaksvale.co.uk, on 020 8699 1011, or by post at the address above, marked for the attention of Data Protection.

What we collect, and when

When you use the contact form on this website, we collect your name, your phone number, your email address and whatever you write in the message. Those four fields are the whole form. We do not ask for anything else, and you do not have to give us more than you want to in the message.

When you become a client, we collect what is needed to let and manage a property: your address, bank details for paying rent to you, proof of ownership, and the documents a letting requires by law.

When you visit the site, our server records the usual technical information: the IP address your device connects from, the pages requested and the time. That is ordinary web server logging rather than tracking, and we do not use it to build a profile of you.

When you open the contact page, Google reCAPTCHA loads to stop automated spam. It receives your IP address and information about how you interact with the page, and Google's own privacy policy applies to it as well as this notice.

Why we use it, and our lawful basis

For each thing we use your information for, the law requires a lawful basis. Ours are:

  • Replying to your enquiry and discussing whether we can help: taking steps at your request before entering a contract.
  • Providing guaranteed rent and property management: performance of our contract with you.
  • Keeping records of lettings, payments and tax: legal obligation.
  • Checking identity and right to rent where a letting requires it: legal obligation.
  • Keeping the site secure and free of spam: our legitimate interests in running a working website.
  • Sending you marketing about our services: your consent, which you can withdraw at any time.

We do not sell your information to anybody, and we do not pass it to third parties for their own marketing.

Who we share it with
  • Contractors and tradespeople attending a property we manage, who are given only what they need to do the job.
  • Referencing and credit reference agencies, where a tenancy requires a prospective tenant to be referenced.
  • Our accountant and professional advisers, where they need it.
  • Our IT and software suppliers, who host this website, deliver contact form messages and run our email, and who process information on our instructions.
  • Google, through reCAPTCHA on the contact page, as described above.
  • Regulators, HMRC, local authorities and the police, where the law requires us to provide information.
How long we keep it

Enquiries that do not become business are deleted 24 months after we last heard from you. If you ask us to delete yours sooner, we will.

Client records are kept for six years after our relationship ends, which is the period tax and contract law expects, and longer only where a specific legal duty requires it.

Server logs are kept for a short operational period and then discarded.

Where it is held

This website is hosted in Germany, inside the European Economic Area. Some of the suppliers we use for email and for delivering contact form messages may process information outside the UK and the European Economic Area, including in the United States. Where they do, we rely on the safeguards UK data protection law requires for such transfers, such as the UK-US data bridge, the International Data Transfer Agreement or the UK Addendum.

Keeping it safe

Access to enquiry and client information is limited to the people in the business who need it. Our website is served over an encrypted connection, and our systems are protected by passwords and the access controls our suppliers provide. No system is perfectly secure, but we take the protection of your information seriously and we will tell you and the ICO about any breach that is likely to affect you.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • have it corrected if it is wrong or incomplete
  • have it deleted, where we have no continuing reason to keep it
  • restrict or object to how we are using it, including objecting to marketing at any time
  • ask for it in a portable format, where we hold it on the basis of your consent or a contract
  • withdraw consent at any time, where consent is what we relied on

To exercise any of these, email info@taaksvale.co.uk or write to us at the address at the top of this notice. We will respond within one month. There is no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first at info@taaksvale.co.uk, so we have the chance to put it right.

You also have the right to complain to the Information Commissioner's Office at any time:
